We have produced this Privacy Policy to explain how we handle your personal data. All data processing is done in compliance with the UK Data Protection Act 2018, the UK GDPR, and the Data (Use and Access) Act 2025 (“Data Protection Legislation”).

The terms “Personal Data”, “Special Categories of Personal Data”, “Data Controller”, “Data Processor”, “Data Subject”, and “process” have the meanings given to them in the Data Protection Legislation. “Data Protection Lead” refers to the member of staff overseeing our data protection compliance.

You have the following rights under the Data Protection Legislation:

  • Right of access – to request details of personal data we hold about you.
  • Right to withdraw consent – at any time, by emailing hello@hausproperties.com.
  • Right to rectification – to correct inaccurate or incomplete information.
  • Right to erasure – to have your data deleted where it is no longer needed or consent is withdrawn.
  • Right to restrict processing – in certain circumstances, including objections to marketing.
  • Right to object to automated decision-making – including profiling.

To make a Subject Access Request, email hello@hausproperties.com with the subject line “Subject Access Request” and include a copy of your passport or driver’s licence to confirm identity. We aim to respond within 30 days, unless the request is excessive or unfounded (in which case we will explain any delay or reasonable administrative cost).

If you are unhappy with our response, you can complain to the Information Commissioner’s Office (see below).


2. Who is the Data Controller?

We act as Data Controller when:

  • We collect personal data directly from you for our own purposes.
  • We receive or purchase data from third parties to use for our own purposes.
  • We jointly determine the purpose and means of processing with another party (joint controller).

If we process your personal data solely on behalf of another organisation, that organisation remains the Data Controllerand we act as Data Processor under their instructions.

5. What Personal Data We Collect

We may collect, use, store, and transfer different kinds of personal data, including:

We also use aggregated, anonymised data for analytics, which does not identify individuals.

7. Refusing to Provide Personal Data

If you choose not to provide information needed for us to perform a contract (for example, to progress a property sale or application), we may be unable to deliver that service.


8. Data Retention

We keep personal data only for as long as necessary:

  • Contractual and transaction data: up to 6 years (in line with the Limitations Act 1980).
  • Marketing data: until you withdraw consent or unsubscribe.
  • Partner application data: for a maximum of 12 months, unless you join Haus.
  • AML and compliance records: as required by law.

We review data retention annually and securely delete data once it is no longer needed.


9. Sharing and Transfers

We share data only when necessary with:

  • Our staff, Partners, and approved service providers
  • Developers, solicitors, mortgage brokers, and financial advisers (for transactions)
  • Regulatory bodies and HMRC where required
  • IT and hosting providers who store data securely

Some of our suppliers are based outside the UK. We ensure appropriate safeguards are in place, including the UK International Data Transfer Addendum or approved adequacy mechanisms.

We use technical and organisational measures to keep your information secure — including encryption, access controls, and regular security reviews.

We may update this policy from time to time to reflect legal or operational changes. The “Last updated” date will always show the latest version. Material changes will be highlighted on our website.
